Information you provide directly: When you sign up for a care plan, register on the client portal, submit a support ticket, or contact us, we may collect your name, email address, phone number, business name, website URL, billing information, and any content you share with us.
Information from your digital business card: If you use our Digital Business Card feature, the information you choose to display on your card (such as your name, title, contact details, and social links) is visible to anyone who views your card link.
Automatically collected information: When you visit our website or client portal, we may automatically collect your IP address, browser type, device information, pages visited, time spent on pages, and referring URLs.
Communications: When you contact us by email, ticket, or other means, we retain records of those communications to provide support and improve our services.
2. How We Use Your Information
We use the information we collect to:
- Provide and manage the services included in your care plan
- Process and respond to support tickets
- Track and report on plan minutes used
- Send account-related notifications such as low-minutes warnings, ticket updates, and billing reminders
- Communicate with you about your account, plan renewals, or service updates
- Improve and develop our services
- Comply with legal obligations
We do not sell your personal information to third parties. We do not use your information for advertising purposes.
3. How We Share Your Information
We do not sell, rent, or trade your personal information. We may share information in the following limited circumstances:
Service providers: We work with trusted third-party providers to operate our platform, process payments, send emails, and host infrastructure. These providers access your information only as needed to perform their services and are bound by confidentiality obligations.
Legal requirements: We may disclose information if required to do so by law, court order, or government authority, or if we believe disclosure is necessary to protect our rights or the safety of others.
Business transfers: If Jade WebArt is acquired, merged, or sold, your information may be transferred as part of that transaction. We will notify you in advance of any such change.

Essential cookies are required for the portal to function and cannot be disabled.

We retain your account information for as long as your account is active. If you cancel your plan, we retain your data for a period of 90 days to allow for reactivation, after which it is deleted or anonymised.
Support ticket history and time logs are retained for up to 3 years for billing and dispute resolution purposes.
You may request deletion of your data at any time by contacting us. See Section 6 for your rights.
6. Your Rights
You have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Delete your personal information, subject to legal retention requirements
- Opt out of non-essential communications at any time
- Export a copy of your data in a portable format

7. Third-Party Services
Our services integrate with or link to third-party platforms including payment processors, hosting providers, and email services. These third parties have their own privacy policies and we are not responsible for their practices.
If you use our Digital Business Card feature, any information you include on your public card is controlled by you. We are not responsible for how third parties who view your card use that information.
8. Children's Privacy
Our services are intended for businesses and individuals aged 18 and over. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
9. Security
We take reasonable technical and organisational measures to protect your information from unauthorised access, loss, or misuse. These include encrypted connections (HTTPS), access controls, and regular security reviews.
No method of transmission or storage is 100% secure. While we work hard to protect your data, we cannot guarantee absolute security. If you believe your account has been compromised, please contact us immediately.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page and, where appropriate, notify you by email or through the client portal.
Your continued use of our services after changes are posted constitutes your acceptance of the updated policy.
